Office Administrator / Personal Assistant - Institute of Licensing Closing Date: 25/03/2022

Job Information

  • Starting salary: £22,000 - £25,000 per annum (depending on experience)
  • Full-time (37 hours per week)
  • 24 days annual leave per annum
  • Home working position with occasional travel as necessary

Job Duties / Key Responsibilities

Complex diary management, both business and personal, for the Executive Officer (EO) and wider team.

Organising meetings, including booking venues, ordering refreshments, recording attendance, and taking and preparing agendas and meeting minutes / briefing notes for various meetings including:-

  • Board and Committees
  • Consultation Panels (Taxi and others)
  • National Licensing Forum,
  • National Taxi Licensing Forum
  • Local Alcohol Partnership Groups
  • Ad hoc meetings
  • Team meetings

Extensive and efficient email management.

Ensuring efficient and effective customer communications including email and telephone.

Management of miscellaneous issues on behalf of the EO and wider team.

Preparation of reports and editing of documents including reports and presentations.

Online management of document filing systems.

Attendance at meetings, workshops and conferences when required.

Provision of administrative support for the wider team as required.

Handling confidential matters with discretion.

 

Office Administrator Skills and Qualifications

Ideally educated to A-Level standard or equivalent (level 3).

Prior office management experience.

Proven diary management skills with strong prioritisation and organisation skills.

Exceptional standard of written and verbal English and strong attention to detail.

Exceptional communication and customer service skills.

Proven proficiency with Microsoft Office suite.

Flexibility of working hours and excellent time management skills.

Ability to work without supervision, working from home with occasional travel as necessary.
